Rule 1: Respond Fast, Even if the Fix Takes a Day
Tenant relationships are built in moments like these. Acknowledge the issue immediately, give a realistic timeline, and for a dead fridge, suggest the tenant keep doors closed (food holds for about four hours in a fridge, longer in a full freezer). A landlord who acts fast keeps good tenants longer.
Rule 2: Use the Rental Math, Not the Homeowner Math
In your own home, you might pay a premium for the exact model you love. In a rental, the equation is uptime per dollar. A reliable mid-range or quality used appliance that can be delivered tomorrow beats a premium model on back order for three weeks. Vacancy and tenant frustration cost more than the appliance does.
Rule 3: Know the Repair or Replace Thresholds
Under 8 years old with a single failed component: repair it. Over 10 years with a major failure (compressor, motor, control board): replace it, and a checked used unit often makes the most sense for a rental. Second major failure in two years: stop putting money into it.
